Running a trade business means you can't always answer the phone, follow up on a quote, or remember the next step for every customer.
I automate those routine follow-ups so your opportunities keep moving even when you and your crew are busy doing the work.
- A missed call can trigger an immediate text.
- A new lead can enter a follow-up process.
- An open quote can trigger a reminder.
- A completed job can trigger an invoice and payment request.
- An unpaid invoice can trigger a payment reminder.
- A paid job can trigger a review request.
What Is Contractor Automation?
Contractor automation uses software to handle the repetitive administrative steps that happen before, during and after a job: missed calls, lead follow-up, quote reminders, payment requests, review asks.
You and your team still talk to customers, sell the work, and run the jobs. I handle the remembering.
Keep Every Opportunity Moving
A customer usually passes through several stages before a job is finished:
Lead → Quote → Booked → Completed → Paid → Review
At every stage, there's something you can forget: returning the call, following up on the quote, sending the invoice, checking whether it was paid, asking for the review.
I connect those steps so your customer doesn't disappear simply because someone forgot to follow up.
Lead Recovery
A missed call doesn't have to end the conversation.
What happens when you miss a customer's call?
You might be on a roof, under a sink, driving between jobs or already talking to another customer.
- The phone rings.
- Nobody answers.
I can automatically send the caller a text from your business number so the conversation keeps going without anyone in your office noticing the missed call first.
A missed call becomes a lead your team can follow up with instead of a phone number buried in a call log.
I keep the customer details, messages and job information connected, so your team can see what's already happened before responding.
Your staff keeps answering business calls on the phones they already use. "See the Phone System and Mobile App" for how that works.
Sales Automation
Once a lead exists, somebody still has to keep track of it.
See what's happening with every lead.
Instead of searching through texts, emails, spreadsheets and sticky notes, your team can open the customer record and see the current status.
That record can include:
- Customer contact information
- Calls and messages
- Quote information
- Appointment details
- Job status
- Payment activity
- Follow-up history
That leaves you with one question you can actually answer: What's happening with this customer right now?
Catch Bad Contact Information Earlier
A follow-up system only works if the customer information is correct.
I can flag certain phone-number or email-address problems while your team is entering them, instead of leaving you to discover later that a quote, reminder or payment request never reached the customer.
Quotes
Sending the quote is only one step. If the customer doesn't respond, I can trigger follow-up based on the schedule you choose, so your staff doesn't have to keep a separate list of who still needs a call.
Some customers would rather answer a few questions on your website after work than wait for a callback. That estimate becomes a lead in the same system, ready for your team to quote.
See Estimates and Quotes for how a price gets to a homeowner and how the quote stays connected to the lead.
Payments
A finished job should turn into a paid invoice without someone having to chase it.
Finish the job without creating more office work.
When you mark a job Complete, I can trigger the payment workflow: sending the invoice, sending a payment link, sending a reminder if payment is still outstanding, and recording the payment against the customer record.
You choose the follow-up schedule. I handle the routine reminders.
Spend less time chasing unpaid invoices.
Without automation, someone has to keep checking: was the invoice sent, has the customer paid, did anyone follow up, when should we contact them again.
I keep that information connected to the job and can send scheduled payment reminders when an invoice stays unpaid.
Reviews
A paid job is also your best shot at a review, if someone remembers to ask.
Turn completed jobs into future opportunities.
Once a customer has paid, I can automatically send a review request, while the completed work is still fresh in their mind.
The job may be finished, but building your reputation doesn't have to end with it.
Common Questions
What if a customer leaves a negative review, or a competitor posts a fake one?
I can't stop a negative review from a real customer with a review-request system. Your strongest move is responding to it directly and in writing, which also shows future customers how you actually handle problems.
Review gating (sending the request only to customers expected to leave a good review) violates Google's policies and can get a business's reviews suspended entirely. I send the same request after every completed, paid job, not a filtered subset.
You can flag a fake review from a competitor, a former employee, or someone who was never a customer to Google for removal, though Google doesn't act on flags quickly or consistently.
Your most reliable defence is volume. A steady stream of real review requests after every job means a handful of fake or negative reviews carry less weight against the total.
Does contractor automation replace my staff?
No. Contractor automation handles repetitive administrative actions such as reminders, notifications and scheduled follow-ups.
Your staff still talks to customers, answers questions, prepares or approves work, performs the job and manages exceptions that need human judgment.
Can I see where every job stands?
Yes. I assign a status to each opportunity or job so your team can see where it stands, plus additional statuses for a job that's lost, cancelled, or needs attention.
Does Strategic Mind replace my phone system?
Yes. Your personal mobile phone doesn't change. Instead, you download an app that supports the business phone number, and you can transfer in your existing business number.
Will automated emails and texts look like bulk marketing messages?
No. I send emails through your domain name and leave out the images and other fluff that triggers spam filters.
If you want to send bulk marketing messages, I'd suggest using a different domain name for that to prevent blacklisting of your business emails.

You can spend money generating calls and website inquiries and still lose jobs because nobody answered the phone, nobody followed up, the quote sat unanswered, the invoice never went out, or nobody asked the happy customer for a review. I built this to close those gaps.
- Capture more of the opportunities you already generate
- Spend less time chasing routine follow-up
- See what's happening with every customer and job
